5 Tips to Efficiently Manage Remote Staff

It is easy to manage remote staff with these simple tips that will also allow you to be efficient and organized.

Managing a remote staff can be a challenge since many factors can come into play. Fortunately, it can be quite easy with a few pointers to keep in mind.

What is Remote Staff?

Before learning how to easily manage a remote staff, it is important to know what it actually is. Remote staff includes outsourced workers or even freelancers that are not actually present in a business’s headquarters.

As the name suggests, remote staff people mostly work outside offices. There are many advantages to the setup mainly with how it is less expensive than directly hiring and placing people with the core team.

1 Prepare a Detailed Onboarding Process

Managing a remote staff begins with the onboarding process. Having two or more remote workers can be already daunting to brief and train without proper protocols set in place.

Onboarding processes can easily be made by making a checklist of what needs to be recorded and given to the remote staff. Everything should be documented for future reference.

2 Set Goals and Lines of Communication

Communication will be one of the most important factors in helping manage a remote staff. At the start of the contract or a project, it is important to establish protocols for communicating.

Managers and/or team leaders should designate the software of choice for instant chatting. Everyone’s emails should also be sent to respective supervisors for monitoring.

It is also recommended to set reporting frequency. Reports can be sent daily, weekly, or even monthly in some cases.

Another essential task is to set goals and key performance indicators (KPIs) for the remote staff to work on and achieve. Goals have to be realistic and set within a reasonable timeline.

Everything should be monitored from day one to see any improvements or declines in the remote staff’s performance. Doing so will allow team leaders to address any underlying issue or to check growth.

Managers or supervisors can then check to see if the growth is aligned with their KPis and goals. Adjustments can then be made according to the data that will be gathered.

Remote staff can also be ordered to log their time in and time out everyday. However, some contracts do not really implement this scheme as they depend on deliverables instead of the number of hours worked per day.

3 Give Complete Set of Tools

When starting out, remote staff need all of the data, files, and credentials they need in order to do their work. If there are any proprietary software needed for the project, it should be given immediately so work can start right away.

There should also be a record of such tools that will be given to the remote staff for monitoring. Credentials should also be made for each individual account with the appropriate access levels. Main admin or superuser credentials should not be given away as it is too risky and may cause problems in the long run. Only give the proper access levels to each account to avoid any security risks.

4 Include as Part of the Team

Even if they are outsourced, the remote staff should still be treated as part of the team itself. This also encourages camaraderie and teamwork which will propel the productivity in the long run.

Isolating the remote staff is recommended only for special projects that require them to work separately. If not, including them as part of the core team will be better for everyone.

It goes without saying, but respect should still be given to remote staff. Even if they are not physically present in the workplace, they should still be treated fairly. Still, if they do disrespect management or other team members, proper sanction should be given.

5 Monitor Regularly

After setting up everything in onboarding and reporting schedules, the manager should be responsible about monitoring the data that will be coming in from the remote staff. They should be analyzed and interpreted to plan for future action.

Analysis and interpretation of data should also be shared with the remote staff for transparency. It allows them to see if they are doing a good job or if they are falling behind.

The bottomline is that it is not that hard to manage remote staff. With proper documentation and protocols in place, there should be little to no difficulty at all.
